HOA and condo questionnaire
How do we get the condo questionnaire, the budget and the master policy from the association and check the project against eligibility before the loan is approved?
Ask the association directly and test the answers. Callvu sends the homeowners association or its management company a link to the questionnaire the program requires, with the request for the budget, the master insurance policy and the governing documents the review type needs, reads each item on arrival, checks the answers against the project eligibility rules (owner occupancy, investor concentration, delinquencies, reserves, commercial space, litigation, insurance coverage), routes the project review decision to the underwriter in the Decision Desk, and records the project's approval and expiry on the loan.

The problem today
The questionnaire came back with a litigation box ticked, three days before closing.
A condo loan needs the project reviewed. The processor emails the management company a questionnaire. It comes back weeks later, incomplete, with a 'yes' on pending litigation and a budget that shows reserves below the requirement. The underwriter finds it when the file reaches the queue, and the loan that was approved is not deliverable.
The agencies' project standards are detailed: the questionnaire's questions, the owner-occupancy and investor limits, the delinquency limits, the reserve requirement in the budget, the commercial space limits, litigation and structural issues, the master policy's coverage and the fidelity bond. The review type (limited, full, approved project list) decides what must be checked. A project that fails is a loan that cannot be sold.
The association answers one request well. It does not answer four.
How it runs
From the requestto the system of record.
The application shows a condo or an attached planned unit development. Callvu classifies the review type and opens the project review with the association's contact.
- Homeowners association
- The association or its management company completes the questionnaire and provides the budget, the master policy and the governing documents through a link.
- Processor
- Sees the project review's status and reviews only flagged answers.
- Underwriter
- Decides the project review in the Decision Desk.
- Callvu
- Classifies the review type, requests, reads, checks against eligibility, routes and records.
Classify the review type
The program, the loan-to-value, the occupancy and the project's status (on an approved list, a new or established project) classify the review type (limited, full, or a project already approved) and the items required: the questionnaire version, the budget, the master policy declarations, the fidelity bond, the governing documents where needed.
Chase and verify the association
The association receives a link to the questionnaire and the document requests; reminders run and the borrower's agent is told the status. Each item is read on arrival: the questionnaire's answers, the budget's reserve line against the requirement, the master policy's coverage, deductible and endorsements, the fidelity bond amount.
Check eligibility
The answers are tested against the program's project standards: owner-occupancy and investor concentration, the single-entity ownership limit, delinquency rate, reserves, commercial space, pending litigation and structural or safety issues, the insurance requirements. Each failure or 'needs review' answer is flagged with the standard it tests.
Decide and write back
The underwriter decides the project review in the Decision Desk with the questionnaire, the documents and the flags, and only the allowed outcomes: approve, approve with conditions, or decline the project. The approval, its basis, its expiry and the documents are written to the loan and to the lender's project database for reuse within the validity period.
Where it ends: The project was reviewed from the association's own answers and documents, tested against the program's standards, decided by the underwriter and recorded with its expiry for the next loan in the same project. The Decision Trace shows the review type and each test; the Audit Trace shows the association's responses and the decision.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
A link to the association or its management company; the borrower's agent sees the status.
The back office
The underwriter decides from tested answers; the next loan in the same project reuses the approval within its validity.
The Decision Desk
- The underwriter decides the project review in the Decision Desk with the questionnaire, the documents and the flags, and only approve, approve with conditions, or decline.

Questions
What buyers ask next,answered plainly.
How does the association respond?

What is tested?
The program's project standards: ownership concentrations, delinquencies, reserves, commercial space, litigation and structural issues, and the master insurance.
Can the approval be reused?
Yes, for the next loan in the same project within the validity period the program allows, from the lender's project database.
