Life underwriting evidence collection
How do we collect the paramedical exam, the attending physician statements and the lab results the underwriter ordered from the third parties on a clock, and attach them checked to the case?
Run every evidence order as a chase against a named third party with a deadline. When underwriting orders evidence, Callvu classifies each requirement (an exam, labs, an attending physician statement, a prescription history, a motor vehicle record) to its source, schedules the exam with the applicant on their phone, sends the attending physician statement request to the right provider with the signed HIPAA authorization, chases each party on the clock the insurer sets, reads each result on arrival and checks it against the order (the right applicant, the dates, the completeness, the abnormal findings flagged for the underwriter), routes a question about an order to the underwriter in the Decision Desk, and attaches the checked evidence to the case in the underwriting system. The problem today
The case waited 41 days for an attending physician statement that had been faxed to the wrong office on day 9.
The underwriter orders an exam, labs and an attending physician statement. The vendor schedules the exam when the applicant answers the phone; the physician's office receives a fax and files it; the labs come back under a slightly different name. The case ages in the underwriter's queue while the agent calls new business for updates. Most of the life underwriting cycle is waiting on third parties nobody is chasing.
Each piece of evidence has a source, a required authorization, a format and a deadline: the exam through the paramedical vendor with the applicant's availability, the attending physician statement from the named provider under the HIPAA authorization with the state's fee and timeline, the labs from the vendor matched to the exam, the prescription and motor vehicle records from the data vendors. The underwriter needs each one checked against the order and the abnormal findings surfaced, not a stack of PDFs.
The evidence is the cycle time, and the chase is the lever.
How it runs
From the requestto the system of record.
Underwriting orders evidence on a case (at application submission through the application process, or on review). Callvu opens one chase per requirement.
- Applicant
- Schedules and completes the exam, and answers follow-up questions on their phone.
- Paramedical vendor and labs
- Perform the exam and the tests and return the results.
- Attending physician
- Returns the statement or the records under the authorization.
- Underwriter
- Receives checked evidence with the findings flagged and decides questions in the Decision Desk.
- Callvu
- Classifies each requirement, schedules, requests, chases on a clock, reads and checks, routes and attaches.
Classify each requirement
Each ordered item is classified to its source, authorization and format: the exam and labs to the paramedical vendor with the applicant's scheduling, the attending physician statement to the named provider with the signed HIPAA authorization and the state's fee, the prescription history and motor vehicle record to the data vendors, a questionnaire to the applicant; each gets the insurer's deadline.
Chase and verify
The applicant schedules the exam from their phone with the vendor's availability; the attending physician statement request goes to the provider with the authorization and the specific records needed; each party is chased on the clock (the applicant for a missed exam, the provider for an unanswered request, the vendor for late labs) with the case showing what is outstanding; each result is read on arrival and checked against the order: the applicant's identity and date of birth, the dates, the completeness, a provider statement that answers the question asked, and the abnormal findings or build and lab values outside the product's thresholds flagged.
Decide
Evidence that passes attaches by rule; a question about an order (a provider who refuses or wants a different authorization, an applicant who will not schedule, a result for a different person, a finding that needs a further order) goes to the underwriter in the Decision Desk with the specifics and only the allowed outcomes (re-request, order a substitute, close the requirement, or decline the case through its process).
Attach and write back
Each checked item is attached to the case in the underwriting system with its date, source and the flags, the requirement is closed, the case is marked complete when the last requirement closes, and the underwriter and the agent see the status throughout.
Where it ends: Every evidence order was chased from its source on a clock, checked on arrival, and attached with its findings flagged, so the underwriter opened a complete case rather than a stack. The Decision Trace shows each requirement's classification and checks; the Audit Trace shows each request, chase and arrival with its time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The applicant schedules and answers on their phone; the providers and vendors receive requests through their channels.
The back office
The underwriter opens checked evidence with the findings flagged; new business sees requirement status instead of fielding calls.
The Decision Desk
- A provider refusal, an applicant who will not schedule, a result for the wrong person or a finding that needs a further order goes to the underwriter in the Decision Desk with the specifics and only re-request, substitute, close, or decline through its process.
