Lienholder and mortgagee changes

How do we update a lienholder or mortgagee on a policy from a policyholder, a lender or a mortgage servicer, verify the loan details, and send the evidence to the lender?

Treat every lienholder change as a classified request with a verified lender. Callvu classifies the source (the policyholder, a lender adding itself at loan closing, a mortgage servicer after a servicing transfer, a lienholder release after payoff), prefills the policy and the current lienholder or mortgagee clause, verifies the loan number, the lender's legal name and mailing address against the lender's own request or the policyholder's documents, applies the change on the policy system with the correct clause form, and sends the evidence of insurance to the lender's address of record with the change logged.

The problem today

The servicer sent the change on a batch letter, the mortgagee clause was never updated, and the borrower was force-placed.

Today, without Callvu

A mortgage is sold and its servicing transfers. The new servicer writes to the insurer asking for the mortgagee clause to be updated. The letter goes to a scan queue, the clause is not changed, the renewal evidence goes to the old servicer, and the new one, seeing no coverage, places its own policy at the borrower's cost. The borrower's complaint reaches the insurer and the servicer at the same time.

The mortgagee clause is a contractual promise to the lender: notice of cancellation, payment of loss to the lender as its interest appears, and the standard mortgage clause's independence from the insured's acts. The lender's exact legal name, its loss payee address and the loan number must be right, because claim checks and notices go there. Requests come from three directions, and each has its own verification.

It is a small change with a large consequence when wrong.

How it runs

From the requestto the system of record.

A request to add, change or remove a lienholder or mortgagee arrives from the policyholder, a lender or a mortgage servicer, in any channel. Callvu opens the change on the policy.

Policyholder
Requests or confirms the change and provides the loan documents where the source is the policyholder.
Lender or mortgage servicer
Requests the change with its loan number, legal name and address, and receives the evidence of insurance.
Callvu
Classifies, prefills, verifies, writes to the policy system and sends the evidence.
  1. Classify the request

The source and the type classify the handling: a lender adding itself at a closing or a refinance (verify against the closing documents or the lender's request), a servicer transfer (verify the transfer notice and the new servicer's identity), a policyholder's request (verify identity and the loan document), a release after payoff (verify the lender's release), and whether the interest is a mortgagee on property, a lienholder on a vehicle, or an additional insured.

  2. Prefill and verify

The policy and its current clause are prefilled from the policy system; the loan number, the lender's legal name as the lender writes it, the loss payee or mortgagee address, and the clause form the lender requires are compared with the request and the documents; a mismatch (a name variation, a post office box that is not the lender's documented address) is returned to the requester with the specifics.

  3. Apply the change

The clause is added, replaced or removed on the policy system with the correct standard or simple mortgage clause form, the effective date, and the loan number; a removal on a policyholder's request without the lender's release is held for the lender's confirmation.

  4. Write back and send evidence

The change is written to the policy system, the evidence of insurance or the revised declarations with the clause is sent to the lender's address of record (through the evidence of insurance process), the policyholder receives a confirmation, and the request, the verification and the delivery are logged on the policy.

Where it ends: The lienholder or mortgagee was changed on a verified request, the clause and the address are right, the lender holds the evidence, and the policy system records who asked and what was checked. The Decision Trace shows the classification and the verification; the Audit Trace shows the request, the write and the delivery. The Callvu moves in this process are classify, prefill and write back.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The policyholder in any channel, or the lender or servicer through its own request channel.

The back office

The service team sees only mismatches; the policy system and the evidence process do the rest.

The Decision Desk

  • A mismatch between the request and the documents, or a removal without a release, goes to the service team lead in the Decision Desk with the specifics and only apply, return for correction, or hold for the lender.

Questions

What buyers ask next,answered plainly.

Who can request a lienholder change?

The policyholder, a lender at closing or refinance, or a mortgage servicer after a transfer; each source is classified and verified differently.

What is verified?

The loan number, the lender's legal name as the lender writes it, the loss payee or mortgagee address, and the clause form, against the lender's request or the loan documents.

Can a policyholder remove a lender?

Only with the lender's release or proof of payoff; otherwise the removal is held for the lender's confirmation.
