Producer license and E&O renewal tracking

How do we track every producer's license and errors and omissions policy to its expiration, chase the renewal proof, and suspend the appointment when it lapses?

Track each expiration as a date with an owner and suspend by rule. Callvu holds each producer's licenses by state with their expiration dates, continuing education status and the errors and omissions policy's expiry, opens a renewal chase before each date, requests the proof of renewal (the renewed license from the state's producer database, the new certificate of insurance) from the producer or the agency through a link, reads and checks it (the license number, the lines, the states, the coverage limits and the carrier as certificate holder), writes the updated record to the producer system, and suspends the appointment and new business in the affected state by rule when a date passes without proof, lifting it when the proof arrives.

The problem today

The agency's errors and omissions policy lapsed in March; the carrier found out when a claim was made against the agent in August.

Today, without Callvu

A carrier appoints hundreds or thousands of producers. Each has licenses in one or more states, continuing education obligations, and an errors and omissions policy the carrier requires. The expirations live in a spreadsheet, the renewal reminders go out from someone's calendar, and the proof arrives by email or not at all. A producer writes business on a lapsed license, and the carrier has written an unlicensed policy.

State producer licensing rules require every producer to hold a license for the lines they sell in each state, renewed on the state's cycle with continuing education, and require the carrier to appoint the producer and to terminate the appointment when the producer is no longer licensed, with notice to the state within a set period. The carrier's own agreement requires errors and omissions coverage at a minimum limit. Each is a date on a record, and the state's producer database can confirm the license.

The lapse is not the failure; writing business through it is.

How it runs

From the requestto the system of record.

A producer's license, continuing education deadline or errors and omissions policy approaches its expiration, or a state's producer database shows a change. Callvu opens the renewal chase on the producer.

Producer or agency
Renews with the state and the insurer, and provides the proof through a link.
Licensing and appointments team
Decides exceptions in the Decision Desk and files appointment terminations.
Callvu
Tracks the dates, chases, reads and checks the proof, updates the producer system and suspends by rule.
  1. Track the dates

Each producer's licenses by state (with the line authorities and the renewal date), the continuing education status and the errors and omissions policy's expiry and limits are held on the producer record; the chase window before each date opens the case with the proof required.

  2. Chase and verify the proof

The producer or the agency receives the request through a link with the date; the renewed license is verified against the state's producer database (status, lines, expiration) and the new certificate of insurance is read for the carrier, the limits, the dates and the certificate holder; what is missing or deficient is requested with the specific item, with reminders until the date.

  3. Suspend by rule on a lapse

A date that passes without verified proof suspends the appointment for new business in the affected state (or all states for a lapsed errors and omissions policy) on the producer system by rule, with the producer and the agency told what cures it; a disputed status, a license in a renewal grace period, or a state with a pending reinstatement goes to the licensing team in the Decision Desk.

  4. Write back and terminate where required

The verified renewal is written to the producer system with the new dates, a cured lapse lifts the suspension by rule, and a lapse that is not cured within the carrier's period generates the appointment termination filing to the state within the state's notice period, recorded on the producer.

Where it ends: Every producer's dates are tracked, renewals were chased before they passed, proof was verified against the state's record, and no business is written through a lapse. The Decision Trace shows the dates, the checks and any exception; the Audit Trace shows each chase, proof, suspension and filing with their times. The Callvu moves in this process are chase and verify and write back.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The producer or the agency through a link, with the dates and the suspension risk visible.

The back office

The licensing team sees only exceptions; the producer system enforces suspensions and new business eligibility.

The Decision Desk

  • A disputed status, a grace period or a pending reinstatement goes to the licensing team in the Decision Desk with the state record and only the allowed outcomes: extend to the grace period's end, suspend, or terminate the appointment.

Questions

What buyers ask next,answered plainly.

How is a renewal verified?

Against the state's producer database for the license and against the certificate's content for the errors and omissions policy, never from a copy the producer sends.

What happens on a lapse?

New business is suspended in the affected scope on the producer system by rule, the producer is told what cures it, and an uncured lapse generates the appointment termination filing within the state's period.

Does the carrier have to tell the state?

Yes, a termination of appointment must be filed within the state's notice period, which the process generates and records.
