Agent and broker onboarding and appointment
How do we onboard and appoint an agency or broker with the licenses checked, the errors and omissions proof collected, the contracts signed and the appointments filed, so they are active in the producer system?
Run onboarding as a checklist the agency clears through a link, with the state filings made from it. Callvu classifies the producer (an agency or an individual, the lines, the states), lists the requirements (the state licenses by line, the errors and omissions coverage, the producer agreement and commission schedule, the background and sanctions checks, the tax and payment details, the anti-money-laundering and product training the lines require), collects each through the producer's link, checks the licenses against the state's producer database and the coverage against the limits, routes the approval to the producer management desk in the Decision Desk, files the appointments with each state within the appointment period, and writes the active producer with their lines, states and commission schedule to the producer system. The problem today
The agency sold for three weeks before the appointment was filed, and the state's fine arrived with the first commission statement.
A new agency wants to sell. The contracting package goes out by email; the licenses come back as screenshots; the errors and omissions certificate is last year's; the agreement is signed by someone whose authority nobody checked. The sales team activates the agency in the producer system to get the business moving; the appointment is filed when someone remembers. The state's producer licensing rules make the insurer responsible for the appointment and the penalties for unappointed sales.
Producer onboarding is a set of checks against public and private records: the license status by line and state in the producer database, the coverage limits on the certificate, the sanctions and background checks, the training the lines require (anti-money-laundering for life and annuities, product-specific training for annuities and long-term care), the signed agreement and the tax form. The appointment is a filing with its own period after the first application. Each is a rule, and the producer system should reflect only what passed.
An agency active in the producer system should mean an agency the insurer can defend.
How it runs
From the requestto the system of record.
A sales manager or the agency requests onboarding. Callvu opens the case with the producer type, the lines and the states.
- Agency or producer
- Provides the licenses, the coverage, the training evidence, the tax and payment details, and signs the agreement through their link.
- Sales manager
- Sponsors the relationship and sees the checklist's status.
- Producer management desk
- Approves in the Decision Desk with the checks.
- State insurance departments
- Receive the appointment filings.
- Callvu
- Classifies, lists, chases, checks, routes, files and writes.
Classify and list the requirements
The producer type, the lines of authority, the states and the products classify the requirements: the agency and individual licenses by line and state, the errors and omissions coverage with the minimum limits, the producer agreement and the commission schedule for the products, the background and sanctions checks, the tax form and payment details, the anti-money-laundering training for life and annuity producers, the product training the states require for annuities and long-term care, and the appointment in each state.
Chase and verify
Each item is requested through the producer's link, read and checked: the licenses against the state's producer database (status, lines, expiration, regulatory actions), the coverage certificate against the limits and the dates with the insurer as certificate holder, the agreement signed by an authorized principal, the training certificates against the requirements, the principals against the sanctions and the regulatory action lists; the checklist shows what is outstanding.
Decide
The producer management desk approves in the Decision Desk with the checklist and each check's result, and only the allowed outcomes: approve for the lines and states the checks support, approve with conditions, or decline with reasons; a state without a verified license or a line without the required training is excluded by rule.
File and write back
The appointments are filed with each state through the producer database within the state's period from the first application or before the first sale as the state requires, the fees are paid, the active producer with the lines, the states, the appointment dates, the commission schedule and the renewal dates is written to the producer system, and the quoting and application processes accept the producer only within that scope.
Where it ends: The producer was approved on verified licenses, coverage and training for the lines and states the checks support, the appointments were filed on the states' clocks, and the producer system enforces the scope. The Decision Trace shows each check and the approval; the Audit Trace shows the documents, the database checks, the filings and the write.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The producer through their link; the sales manager sees the status.
The back office
The producer management desk approves on a checklist with verified checks; the filings and the producer system run from the approval.
The Decision Desk
- The checklist goes to the producer management desk in the Decision Desk with each check's result and only approve for the verified scope, approve with conditions, or decline with reasons.

Questions
What buyers ask next,answered plainly.
What is collected?
The licenses by line and state, the errors and omissions certificate, the signed agreement, the tax and payment details, the training certificates and the principals' details, through the producer's link.
How are licenses verified?
Against the state's producer database for status, lines, expiration and regulatory actions; a state without a verified license is excluded from the scope.
When is the appointment filed?
From the approval, within the state's period from the contract or the first application, before the producer can sell in that state where the state requires.
