Property inspection follow-up

How do we follow up a property inspection that found hazards so the policyholder fixes and proves each item by the deadline, and the policy is kept, changed or non-renewed on the state's clock?

Turn the inspection report into a list of items the policyholder clears one by one with photos. Callvu reads the inspection report, classifies each finding under the carrier's hazard rules (must fix, fix or surcharge, note only) with the deadline the rules allow, sends the policyholder their list with plain instructions and a link to upload proof per item, reads each photo or receipt on arrival and checks it against the finding, chases the open items with the deadline and the consequence in view, routes the unresolved file to the underwriter in the Decision Desk with the state's non-renewal clock, and writes the outcome (kept, endorsed or non-renewal notice) to the policy system.

The problem today

The inspection found a missing handrail and a roof at end of life in March; the non-renewal notice was mailed in August, three days late for the state.

Today, without Callvu

A new homeowners policy gets an exterior inspection. The report lists hazards. A letter asks the policyholder to fix them and send photos. The photos come to a mailbox or never come; nobody tracks which items were cleared; the underwriter rediscovers the file near renewal, decides to non-renew, and the notice misses the state's required period, so the policy renews for another year with the roof.

The inspection program has rules: which findings must be corrected and by when, which can be surcharged or endorsed, which are informational. The state sets how many days before expiration a non-renewal notice must be delivered and with what reasons, and whether mid-term cancellation is allowed for a hazard. The policyholder needs a list in plain words, one place to send the proof, and reminders before the deadline.

A finding is cleared by evidence tied to that finding, not by a letter in the file.

How it runs

From the requestto the system of record.

An inspection report arrives from the inspection vendor with findings on an insured property. Callvu opens the follow-up on the policy.

Policyholder
Fixes each item and uploads the photo or receipt for it through a link by the deadline.
Inspection vendor
Delivers the report and re-inspects where the rules require.
Underwriter
Decides unresolved files in the Decision Desk.
Callvu
Classifies the findings, chases and verifies the proof, routes and writes to the policy system.
  1. Classify the findings

The report is read and each finding is classified under the carrier's hazard rules: must be corrected (with the deadline the rules allow), may be corrected or surcharged or endorsed, or informational; the policy's state sets the clock for any non-renewal or cancellation that could follow.

  2. Send the list and chase

The policyholder receives their list in plain words with what counts as proof for each item and a link to upload per item; reminders go out before the deadline with the consequence stated; an item the policyholder disputes is captured with their explanation.

  3. Chase and verify the proof

Each upload is read and matched to its finding (a photo of the handrail, a roofer's invoice with the date and address, a receipt), checked for the property and the date, and the item is cleared, returned with what is missing, or sent for re-inspection where the rules require.

  4. Decide and write back

A file with every must-fix item cleared is kept by rule; a file with open items at the deadline, a disputed finding or a surcharge choice goes to the underwriter in the Decision Desk with the evidence and the state's clock, and only keep, endorse or surcharge, extend the deadline, or non-renew or cancel with the state's notice; the outcome and any endorsement or notice are written to the policy system as the system of record.

Where it ends: Every finding was cleared by its own evidence or decided by the underwriter inside the state's clock, the policyholder knew what to do and by when, and the policy system holds the outcome. The Decision Trace shows each finding's classification and the decision; the Audit Trace shows the list, the uploads and the notice dates.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The policyholder's phone, from a text or email link, one upload per finding.

The back office

The underwriter sees only files with open items at the deadline, with the evidence and the clock; policy admin endorses or notices from the decision.

The Decision Desk

  • A file with open items at the deadline, a disputed finding or a surcharge choice goes to the underwriter in the Decision Desk with the evidence and the state's clock, and only keep, endorse or surcharge, extend, or non-renew or cancel with the state's notice.

Questions

What buyers ask next,answered plainly.

How does the policyholder clear a finding?

By uploading the photo or receipt for that item through the link; it is matched to the finding and checked before the item is cleared.

What happens if items are still open at the deadline?

The file goes to the underwriter in the Decision Desk with the evidence and the state's non-renewal clock, before the notice period runs out.

Can the policy be cancelled mid-term for a hazard?

Only for the state's listed reasons after the underwriting period, with the state's notice; the clock on the file applies the right rule.
