Recredentialing

How do we recredential every practitioner before the cycle ends, with the updated documents chased from them and the verifications re-run before the deadline?

Open the cycle early enough and let the chases run against the deadline. Before a practitioner's recredentialing date, Callvu prefills the renewal from the current file and the practitioner's profile, lists what must be updated (the current license and registration, the certification status, the malpractice coverage and history since the last cycle, the work history since, the attestation, any new sanctions or actions), chases the practitioner through their link with the deadline visible, re-runs the primary-source verifications and adds the performance data the standards require (complaints, quality and utilization information, the data bank), resolves discrepancies with the credentialing team, routes the file to the committee or the medical director in the Decision Desk, and writes the renewed status with the next date to the credentialing system of record before the cycle ends, suspending the practitioner by rule where it lapses.

The problem today

The physician's thirty-six months ended on a Tuesday; the file was still waiting for the malpractice face sheet; the plan reported the lapse.

Today, without Callvu

Recredentialing is a calendar that nobody owns. The cycle date sits in the credentialing system; the request goes out when someone runs the report; the practitioner, busy and unaware the deadline matters to them, sends the documents late; the verifications are re-run under pressure, and a file that could have been clean becomes a lapse the plan must report and the practitioner cannot bill through.

The standards require recredentialing at least every thirty-six months, with the same primary-source verifications re-run within the age limits, the practitioner's attestation refreshed, and performance information (member complaints, quality and utilization data, sanctions) reviewed; a practitioner not recredentialed on time must be removed from the network or the medical staff until the cycle completes. The deadline is known years in advance, which makes it a process, not a report.

A cycle opened early, with the practitioner chased against a date they can see, is a cycle that closes early.

How it runs

From the requestto the system of record.

A practitioner's recredentialing date approaches (the cycle opens at the organization's lead time, commonly six months before). Callvu opens the renewal with the deadline.

Practitioner
Reviews and updates the prefilled application, uploads the current documents and attests through their link.
Credentialing team
Resolves discrepancies and assembles the file with the performance data.
Callvu
Prefills, lists the updates, chases against the deadline, re-runs the verifications, routes, writes and suspends by rule on lapse.
  1. Prefill and list the updates

The renewal is prefilled from the current credentialing file and the practitioner's profile in the national credentialing database; the elements to update are listed: the current license and drug enforcement registration, the board certification status and any recertification, the malpractice coverage and any claims since the last cycle, the work history since, the hospital privileges, the attestation questions, and the practitioner's disclosures of any action or sanction.

  2. Chase and verify

The practitioner is asked through their link to confirm or update each element, upload the current documents and attest, with the deadline and the consequence of a lapse visible; reminders go on the schedule and escalate to the department or the network manager before the deadline; each document is read on arrival and checked against the file (the license number and expiration, the coverage limits and dates, the dates of the work history).

  3. Re-run the verifications and add performance data

The primary-source verifications are re-run with the date and the result recorded (the license, the registration, the certification, the data bank, the exclusion and sanction lists, the malpractice history with the carrier) within the age limits, and the performance information the standards require is attached (member complaints and grievances, quality improvement data, utilization patterns, site visit results where applicable); a discrepancy or a new report goes to the credentialing team with the specifics for resolution with the practitioner.

  4. Decide, write back and enforce

The complete file goes to the committee or, for a clean file where the standards allow, the medical director in the Decision Desk with the verifications and the performance data and only the allowed outcomes (renew, renew with conditions, defer for named information, or terminate with reasons and the appeal rights); the renewed status with the decision date and the next recredentialing date is written to the credentialing system of record and from it to the directory and the billing system; a practitioner whose cycle ends without a decision is suspended from the network or the schedule by rule until it completes, with the practitioner and the department told.

Where it ends: Every practitioner's cycle opened early, the updates were chased against a visible deadline, the verifications were re-run within the age limits with the performance data attached, and the credentialing system of record holds the renewal before the cycle ended, with a lapse enforced by rule rather than discovered by a report. The Decision Trace shows the elements updated, each verification's result and the decision; the Audit Trace shows the chases, the escalations, the verifications and the write with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The practitioner through their link with the deadline visible; the department sees escalations.

The back office

The credentialing team resolves discrepancies and attaches performance data; the committee decides complete files.

The Decision Desk

  • The complete file goes to the committee or the medical director in the Decision Desk with the verifications and the performance data and only renew, renew with conditions, defer for named information, or terminate with reasons and appeal rights.

Questions

What buyers ask next,answered plainly.

How often is recredentialing required?

At least every thirty-six months under the NCQA standards, and every two years for Joint Commission medical staff reappointment; the cycle opens at the organization's lead time before the date.

What is re-verified?

The license, the registration, the certification, the data bank, the exclusion and sanction lists and the malpractice history at the primary source, within the age limits, plus the performance data the standards require.

What happens if the cycle lapses?

The practitioner is suspended from the network or the schedule by rule until the cycle completes, and the practitioner and the department are told; the escalations before the deadline are there to prevent it.
