Merchant services onboarding

How do we onboard a business to merchant services with the underwriting, the documents and the processor setup in one application?

Run the merchant application as one case between the business, the bank and the processor. Callvu prefills the business from the core, collects the application and the documents the processor and the card network rules require, runs the merchant underwriting checks (the business type and category code, the processing history, the owners, the prohibited lists), routes the decision in the Decision Desk, delivers the merchant agreement for acceptance, and submits the approved application to the processor with everything on the record.

The problem today

The merchant application is a PDF, the underwriting is a phone call to the processor, and the business starts processing before anyone checked the category code.

Today, without Callvu

A business wants to accept cards. The banker sends a PDF application, collects bank statements and a voided check by email, and forwards the bundle to the processor. The processor underwrites, asks for more, and the banker chases. The category code was guessed; the business turns out to sell something the network rules restrict; the chargebacks start.

Merchant acquiring carries rules from the card networks (merchant category assignment, prohibited and high-risk businesses, the merchant agreement's required terms, PCI DSS obligations) and the processor's own underwriting, plus the bank's BSA obligations for a merchant customer. The bank is the sponsor or the referral partner, and its name is on the relationship.

The business wants to start taking cards this week, and the process that gets it there is mostly waiting.

How it runs

From the requestto the system of record.

A business applies for merchant services with the bank, online or through a banker. Callvu identifies the business, prefills from the core and opens the merchant application.

Business customer
Completes the application, provides the documents, and the authorized signer accepts the merchant agreement.
Bank
Runs its underwriting and BSA checks and decides in the Decision Desk.
Processor
Receives the approved application and sets up the merchant account and equipment.
Callvu
Prefills, collects, runs the checks, routes the decision, delivers the agreement and submits to the processor.
  1. Prefill and classify

The business, its owners, its accounts and its risk rating are prefilled from the core and the BSA system. The business type, the products sold, the sales channels (card present, online, mail and telephone) and the expected volumes classify the merchant category code, the risk tier and the documents required.

  2. Chase and verify

The application is completed on the screen; the documents (processing statements, bank statements, the business license, the owners' identification, the website review for online sales) are uploaded through links and read. The owners are screened, the business is checked against the networks' prohibited and high-risk lists and the terminated merchant file, and the PCI obligations for the channel are set.

  3. Decide

An application inside the bank's and the processor's automatic criteria is approved by rule. A high-risk category, a terminated merchant file match, a screening hit, or volumes above the tier go to the bank's merchant underwriter in the Decision Desk with only the allowed outcomes: approve, approve with a reserve or a lower limit, or decline with reasons.

  4. Agreement and submit

The merchant agreement with the required network terms, the pricing and the PCI obligations is delivered to the authorized signer and accepted on a process-controlled screen. The approved application, the documents and the acceptance are submitted to the processor through its channel, the merchant account and equipment setup are tracked, and the business is told when it can process.

Where it ends: The merchant is set up at the processor with the underwriting, the documents, the screening and the accepted agreement on the bank's record, and the category code and risk tier were decided, not guessed. The Decision Trace shows the classification and the decision; the Audit Trace shows every document, check and submission. The Callvu moves in this process are prefill, chase and verify, decide and write back.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

Online or through a banker; the business completes the application and the signer accepts the agreement on their own screens.

The back office

The merchant underwriter decides in the Decision Desk with the checks done; the processor receives a complete, approved application through its channel.

The Decision Desk

  • A high-risk category, a terminated merchant file match, a screening hit or volumes above the tier go to the merchant underwriter in the Decision Desk with the application and only the allowed outcomes.

Questions

What buyers ask next,answered plainly.

Who sets the merchant category code?

The classification, from the business type, the products and the channels, under the network rules. The banker does not type it.

What is checked before approval?

The owners are screened, the business is checked against the networks' prohibited and high-risk lists and the terminated merchant file, the documents are read, and online merchants get a website review.

When can the business start processing?

After the bank's decision, the signer's acceptance of the agreement and the processor's setup, which the case tracks and reports to the business.
