Loan payoff quote and lien release
How do we issue loan payoff quotes to borrowers and authorized third parties, apply the payment and release the lien, with the authorization and the dates right?
Make the payoff a process with authorization in front of it. Callvu identifies the requester, checks the borrower's authorization where a third party asks, produces the quote from the loan system with the good-through date and the per diem, delivers it, matches the incoming payment to the quote, applies it, and starts the lien release on the state's clock, with every step on the record.

The problem today
The payoff letter is typed from a screen, the per diem is wrong, and the lien release is sent when someone remembers.
A title company emails for a payoff on a car loan or a mortgage. Someone in loan servicing checks the balance, types a letter, and faxes it. The quote is good through a date nobody tracked, the interest is a day off, and whether the title company was authorized by the borrower is assumed. The payment arrives, is applied, and the lien release waits in a pile.
The rules are specific: for a mortgage, the servicer must send an accurate payoff statement within seven business days of a written request; for a car loan, the state's title law sets the days to release the lien after payoff; the borrower's privacy under GLBA means a third party gets a payoff only with authorization. A payoff short by a per diem is a reopened loan and an unhappy borrower.
Payoffs are high volume and look simple, which is why they are done fast and sometimes wrong.
How it runs
From the requestto the system of record.
A borrower, or a third party such as a title company, a dealer or an attorney, requests a payoff in any channel. Callvu identifies the requester and opens the request on the loan.
- Borrower or third party
- Requests the quote, provides authorization where a third party asks, and sends the payment.
- Loan servicing
- Sees every payoff with its quote, payment and release, and decides exceptions in the Decision Desk.
- Callvu
- Checks authorization, produces the quote from the loan system, delivers it, matches and applies the payment, starts the lien release and records.
Identify and authorize
A borrower is authenticated for the channel. A third party is checked against the borrower's authorization on file, or the borrower is asked to authorize through a link on their phone before any figure is released.
Prefill and quote
The payoff is computed from the loan system: principal, interest to the good-through date with the per diem, fees, escrow and any prepayment terms, with the good-through date set by the bank's policy. The quote is delivered in the requester's channel with the wiring or payment instructions.
Chase and verify the payment
The incoming payment is matched to the quote by amount and date. A short payment, a late payment past the good-through date, or an overpayment is explained and the requester asked for the difference or told the refund, with a revised quote where needed.
Apply and write back
The payment is applied, the loan is paid off in the loan system, the lien release or title is started on the state's clock, the escrow refund and the paid-in-full notice go to the borrower, and the record holds the quote, the authorization, the payment and the release.
Where it ends: The quote was accurate, released only to an authorized party, the payment was matched and applied, and the lien release is running on its clock with the borrower told. The Decision Trace shows the authorization and the computation; the Audit Trace shows every step.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any channel, including the title company's email or portal; the borrower authorizes a third party on their own phone.
The back office
Loan servicing sees every payoff from quote to release and handles only exceptions. The lien release is not a pile.
The Decision Desk
- A short or late payment, a disputed figure, a prepayment penalty question or an authorization that cannot be confirmed goes to loan servicing in the Decision Desk with the request and only the allowed outcomes.

Questions
What buyers ask next,answered plainly.
Can a title company get a payoff without the borrower?
Only with the borrower's authorization on file, or after the borrower authorizes through a link on their phone. The authorization is on the record.
What if the payment is short?
The payment is matched to the quote; a shortfall is explained with a revised quote and the loan is not marked paid until it is resolved.
When is the lien released?
The release starts on the payoff date and runs on the state's clock, tracked on the record.
