Collateral releases, fee refunds, write-offs and line closes
How do we handle loan maintenance requests such as collateral releases, fee refunds, write-offs and line closes with a reviewer's approval before the core is changed?
Give every maintenance change a prefilled record and a reviewer. Callvu prefills the loan and the change from the core, classifies the request by type and amount against the bank's authority table, routes it to the reviewer whose authority covers it in the Decision Desk, and writes the approved change to the core once, with the approval and the reason attached. Nothing changes in the core on one person's say.

The problem today
A collateral release is a core transaction one person can key, and the reviewer sees it in the monthly report.
A borrower asks for a release of a vehicle from a loan, or a fee reversal, or a line of credit closed. A loan operations specialist keys it into the core. A second person reviews a report at month end. The release should have needed a paydown first; the fee was reversed twice; the write-off was above the specialist's authority. Dual control existed on paper.
Examiners test dual control on exactly these transactions: changes that reduce the bank's position or its income. The control is a reviewer's approval before the change, with the authority table applied and the reason recorded, and a report that shows every change with its approver.
The volume is the challenge: dozens of small changes a day, each needing a second person without stopping the work.
How it runs
From the requestto the system of record.
A loan maintenance request arrives from a borrower, a relationship manager or loan operations in any channel. Callvu identifies the loan and opens the request.
- Loan operations
- Starts the request on a prefilled record and executes nothing in the core by hand.
- Reviewer
- Approves or rejects in the Decision Desk within their authority, with the reason recorded.
- Callvu
- Prefills, classifies by type and amount, routes to the authorized reviewer, writes the approved change to the core and records.
Prefill
The loan, its balance, collateral, fees, payment history and the requested change are prefilled from the core, so the request shows what will change and by how much before anyone decides.
Classify
The change type (collateral release, partial release, fee refund or reversal, write-off or charge-off, line close, rate or payment change, due date change, escrow adjustment) and the amount are classified against the authority table. The classification sets the reviewer, the conditions (a paydown before a release, a reason code for a refund, a collection history for a write-off) and the documents.
Decide
The request goes to the reviewer whose authority covers it in the Decision Desk with the prefilled record, the conditions and only the allowed outcomes: approve, approve with a condition, or reject with a reason. A request above individual authority routes up the table.
Write back
The approved change is written to the core once, with the approval, the reviewer, the reason and the documents attached, and the borrower is notified where the change affects them. The change report is produced from the record.
Where it ends: The core carries the change with its reviewer, reason and documents, and no maintenance transaction was keyed without approval. The Decision Trace shows the classification and the authority; the Audit Trace shows the request, the decision and the write.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
A borrower, a relationship manager or loan operations, in any channel. The request is a prefilled record, not a core screen.
The back office
Reviewers approve in the Decision Desk; the core is written by the process. The month-end report becomes a record of approvals, not a search for exceptions.
The Decision Desk
- Every request goes to the reviewer whose authority covers it, with the prefilled record, the conditions and only approve, approve with a condition, or reject with a reason.

Banca Transilvania automated more than 100 workflows with Callvu.
Bank Leumi digitized all loan application and servicing workflows within six months, and dozens more processes since.
When a person must decide, the case goes to the right reviewer in the Decision Desk, with only the allowed choices, and the run waits for the decision.

Questions
What buyers ask next,answered plainly.
Can loan operations still key a change in the core?
Not through this process. The request is prefilled, a reviewer approves it in the Decision Desk, and Callvu writes the approved change to the core once.
What if the request is above the reviewer's authority?
It routes up the authority table. The Decision Desk offers each reviewer only the outcomes their authority allows.
What does the examiner see?
Every change with its before and after values, the reviewer, the reason and the time, produced from the record.
