Loan completeness check before Processing

How do we stop incomplete commercial real estate and TRID loan files from reaching Processing?

Put a hard gate in front of Processing. Callvu checks every submitted deal for the required fields and the required document types, matched by document type in the loan system, not by filename. A pass is written to the deal and it moves on; a fail goes back to the loan assistant as a list of what is missing, and the deal cannot move until the check passes. The problem today

Processing finds out what is missing after the deal arrives.

Today, without Callvu

A loan assistant submits a commercial real estate deal with the documents they have. Processing opens it a day or two later and finds no certificate of good standing, a title document that is not one of the accepted forms, a guarantor with no customer record, or a fee schedule with nothing in it. The deal goes back by email, the loan assistant chases the borrower, and the file sits in Processing's queue while it waits.

For a TRID loan the clocks do not wait. The Loan Estimate is due within three business days of the application, and a revised Loan Estimate is due within three business days of a changed circumstance. A file that bounces between two teams on email is where those deadlines slip.

Document checks by filename make it worse. A file called 'title.pdf' passes a filename check and fails the examiner. What Processing needs is the required document type present in the loan system, every time, before the deal is theirs.

How it runs

From the requestto the system of record.

A loan assistant submits a deal in the loan origination system. Callvu picks it up at submission, before Processing sees it.

Loan assistant
Submits the deal and resolves anything the check reports missing.
Processing
Receives only deals that passed the check.
Loan origination system
System of record for the deal, its fields and its documents. Callvu reads it and writes the result back to it.
Callvu
Runs the check, applies the TRID clocks, writes the pass or the failure notice, and keeps the Audit Trace.
  1. Scope filter

Callvu classifies the deal. Only commercial real estate loans and TRID loans enter the check; everything else passes through to Processing unchanged.

  2. Required fields

Every required field on the deal is read from the loan system and checked for a value. An empty required field is a fail, with the field named.

  3. Required document types

Each required document is checked by its document type in the loan system, not by its filename. This is the chase and verify move: a document uploaded under the wrong type does not count, and the loan assistant is told what to chase.

  4. Commercial real estate list

For a commercial real estate deal: a certificate of good standing, one accepted proof of entity authority, one accepted title proof, a customer record for the borrower and for each guarantor, at least one fee and at least one disbursement.

  5. TRID clocks

For a TRID loan, the Loan Estimate clock (three business days from the application) and the changed-circumstance clock (three business days from the change) are tracked on the deal, so a file that is incomplete is never also a file nobody is timing.

  6. Decide: pass or fail

A pass is written to the deal in the loan system (the write back move) and the deal can move to Processing. A fail stays out of Processing; the loan assistant gets a notice that lists exactly what is missing.

  7. Resubmit and re-check

The loan assistant adds what was missing and resubmits. Callvu runs the same check again. Nothing is remembered as 'checked' from the previous attempt; the deal passes on its own evidence.

Where it ends: The deal reaches Processing with a pass written to it in the loan origination system. The rule behind each check is in the Decision Trace; every check result, pass and fail, is in the Audit Trace.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The front door is internal: a loan assistant submitting a deal in the loan origination system. Nothing changes in how they work; Callvu reads the submission.

The back office

Processing only ever receives deals that carry a pass. The email loop between the two teams, and the time a file spent in the wrong queue, are gone.

The Decision Desk

There is no Decision Desk step in this process. The gate is deterministic: a deal passes or it does not, and a person fixes a fail by adding what was missing. Where a bank wants an exception path (for example, a credit officer waiving a document for a specific deal), that becomes a Decision Desk step with a named approver and shows in the Audit Trace.

Questions

What buyers ask next,answered plainly.

Why match documents by type and not by filename?

Because a filename proves nothing. The loan origination system has a document type for every required item; Callvu checks that a document is filed under that type. That is what an examiner checks too.

Can a loan assistant override the gate?

No. The deal moves to Processing only when Callvu has written a pass to it. If the bank wants an exception path, it is a Decision Desk step with a named approver, and the approval is in the Audit Trace.

Does this replace the loan origination system?

No. The loan origination system stays the system of record. Callvu reads the deal and its documents from it and writes the pass, or the failure, back to it.

What happens to the TRID clocks while a file is incomplete?

They keep running, which is the point. Callvu tracks the Loan Estimate and changed-circumstance clocks on the deal from the start, so an incomplete file is also a timed file, and the team sees the due date before it is missed.

How long does it take to go live?

Weeks. Callvu builds the check against the bank's own required-field list and document types, connects to the loan origination system, trains the team and stays through launch.
