Disclosure acknowledgment and e-signature

How do we get a disclosure acknowledged and signed on the customer's own phone, with consent captured first and the record kept?

Send the disclosure to the customer's phone as a step in the process, not as an attachment. Callvu captures E-SIGN consent in a way that demonstrates access, shows the disclosure in full, records the acknowledgment and the signature with timestamps, and files the record where the account or loan lives. No app to install. Live at Banca Transilvania, where mobile e-signature and disclosure workflows handled more than 750,000 sessions in their first year and cut average wait time for legal sign-offs by 74 percent.

The problem today

The disclosure went out as a PDF, and the proof it was read is a reply that says 'ok'.

Today, without Callvu

A banker emails the disclosure, or a loan officer sends the agreement for signature, and the customer replies from their phone. Legal waits for the signed copy. The customer prints, signs, photographs and sends it back, or does not. Days pass. The signed copy, when it arrives, is a photo of a page, with no record of what the customer saw or when.

E-SIGN requires that before a disclosure that must be in writing is delivered electronically, the consumer consents in a way that reasonably demonstrates they can access it in the form used, after being told the hardware and software requirements. It also requires that the record be retained in a form that accurately reflects it and remains accessible. A PDF attached to an email and a reply of 'ok' satisfies neither in a way an examiner can check.

The volume is the other half. Every product, every change in terms, every loan has a disclosure. If each one waits for a printer, the process waits with it.

How it runs

From the requestto the system of record.

A process reaches a step where a disclosure must be acknowledged or a document signed (an account opening, a change in terms, a loan agreement, a consent). Callvu sends the customer a link by text or email, or shows the step in the session they are already in.

Customer
Opens the link on their own phone, gives E-SIGN consent, reads the disclosure, acknowledges and signs.
Banker
Sees the step's status in the case and is told when it is done; no longer chases the signed copy.
Callvu
Captures consent, delivers the disclosure, records the acknowledgment and signature, and files the record with the account or loan.
  1. Identify the signer

The link is bound to the customer and the case. The customer is identified under the bank's policy for the step: the session they are in, a one-time code to the registered phone, or a step-up for a loan agreement.

  2. E-SIGN consent first

Before the disclosure is shown, the customer is told the hardware and software requirements, how to withdraw consent and how to get a paper copy, and consents in a way that demonstrates they can access the document in the form used. The consent is recorded with its timestamp.

  3. Show the disclosure in full

The disclosure is shown on the phone in full, readable, with the customer scrolling through it. The time it was opened and the time it was fully displayed are recorded.

  4. Chase and verify

A customer who has not completed the step is reminded on a schedule set by the process, and the banker sees how long it has waited. The record shows exactly where the customer stopped.

  5. Acknowledge and sign

The customer acknowledges the disclosure and, where required, signs on a process-controlled screen. The acknowledgment, the signature, the device and the timestamps are recorded together.

  6. File the record

The disclosure as shown, the consent, the acknowledgment and the signature are filed with the account or loan in the bank's document system, and the process that was waiting for the step continues.

Where it ends: The acknowledged, signed disclosure is on file with the account or loan, with the consent that preceded it and the timestamps that prove the order. The Decision Trace shows the consent and the rule for the step; the Audit Trace shows every event with its time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

A text or email link, a code, or the session the customer is already in. Any phone, no app. The signature happens on a process-controlled screen, never in a chat.

The back office

Legal, operations or lending receive a filed record, not a photo of a page. The parent process continues the moment the step is done.

The Decision Desk

  • A customer who withdraws consent or asks for paper routes the step to the banker in the Decision Desk with the paper option, so the process continues rather than stalling.
  • A step that has waited past the process's limit escalates to the banker and, where policy says so, to their manager.

Questions

What buyers ask next,answered plainly.

Does the customer need to install an app?

No. The link opens on any phone. Identification, consent, the disclosure, the acknowledgment and the signature all happen in that session.

How is E-SIGN consent handled?

Before the disclosure is shown, the customer sees the required statements and consents in a way that demonstrates they can access the document in the form used. The consent and its timestamp are part of the record.

What proves the customer read it?

The disclosure is shown in full on the device, and the open time, the fully-displayed time and the acknowledgment time are recorded with the signature.

Where does the signed record go?

To the account or loan in the bank's document system, which stays the system of record, and the process that was waiting for the step continues from it.
