Currency transaction reports

How do we file Currency Transaction Reports with the conductor and owner details captured at the teller line and the report filed inside 15 days?

Capture the report at the transaction, not from the next day's list. When cash over the threshold is handled, or aggregates over it across the day, Callvu prefills the customer and the account, asks the teller for the conductor's identification and the details the form requires on a guided screen, aggregates related transactions across branches, applies the exemptions on file, routes anything incomplete to the BSA team in the Decision Desk, files the CTR through the bank's filing channel inside the deadline, and records the acknowledgment.

The problem today

The teller took the cash, the conductor left, and the BSA team is now reconstructing who they were.

Today, without Callvu

A customer deposits cash over the threshold. The teller completes the transaction. The next morning the BSA team sees it on the large cash report and discovers the teller did not record the conductor's identification, or recorded it in a note, or the conductor was not the account owner and nobody asked. The team calls the branch, the branch calls the customer, and the report is filed late or wrong.

A CTR is required for each transaction in currency over 10,000 dollars, by or on behalf of a person, aggregated across the business day and across branches, filed within 15 calendar days, with the conductor identified by a verified document and the person on whose behalf the transaction was made. Exempt persons are exempt only if the exemption is on file and current. The form's fields are exact, and the examiner samples them.

The information is easiest to get at the counter, in the minute it takes, and hardest to get the next day.

How it runs

From the requestto the system of record.

A cash transaction over the threshold is processed at a teller line, an ATM deposit, a night drop or a vault, or the day's aggregation across transactions crosses it. Callvu picks up the transaction and opens or updates the CTR case.

Teller
Captures the conductor's identification and the required details on a guided screen at the transaction.

Callvu
Prefills, guides the capture, aggregates, applies exemptions, routes, files and records.
  1. Prefill and capture at the counter

The customer, the account and any owners are prefilled from the core. The teller's screen asks for what the form needs: the conductor's identification document and number, whether the conductor is the account owner, an agent, or acting for another person, and the person on whose behalf the transaction is made, with their identifying details. The screen will not complete the transaction over the threshold without them, under the bank's policy.

  2. Aggregate and classify

Related transactions across the business day, across branches and channels, by or on behalf of the same person, are aggregated. A customer with a current exemption on file is classified as exempt and no report is prepared; the exemption's review date is checked. A transaction that looks structured to avoid the threshold is flagged to the AML alert process.

  3. Chase and verify, then decide

A case with everything captured is prepared by rule. A case missing a detail (an ATM deposit with no conductor, an aggregated set across branches with inconsistent details) goes to the BSA team in the Decision Desk with what is known and only the allowed outcomes: complete from the records, contact the customer under policy, or file with the fields the instructions allow for unknowns.

  4. File and write back

The CTR is filed through the bank's filing channel inside the deadline, the acknowledgment is recorded, and the case with the capture, the aggregation and the filing is written to the BSA system. The large cash report and the exemption review list are produced from the record.

Where it ends: Every reportable cash transaction has a CTR filed inside the deadline with the conductor and owner details captured at the transaction, aggregation applied and exemptions honored, with the acknowledgment on file. The Decision Trace shows the aggregation and the exemption check; the Audit Trace shows the capture, the review and the filing.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The teller line, the ATM, the night drop or the vault. The teller captures on a guided screen; the customer is asked only what the form requires.

The back office

The BSA team reviews only incomplete or aggregated cases and sees every filing against its deadline.

The Decision Desk

  • A case missing a required detail goes to the BSA team in the Decision Desk with what is known and only the allowed outcomes: complete from the records, contact the customer under policy, or file with the fields the instructions allow.

Questions

What buyers ask next,answered plainly.

The conductor's identification document and number, whether they act for themselves or another person, and that person's details, on a guided screen that the transaction over the threshold cannot complete without.

How is aggregation handled?

Across the business day, branches and channels, by or on behalf of the same person, before the case is prepared.

When is the CTR filed?

Within 15 calendar days after the transaction, through the bank's filing channel, with the acknowledgment on the record.
