Commercial real estate third-party reports
How do we order, track and review the appraisal, environmental and title reports on a commercial real estate loan so each is accepted on the loan before closing?
Run the third-party reports as parallel cases on one loan. At approval, Callvu orders each report through the independent channel the policy requires, tracks the vendor against the expected date, reads the report on delivery, routes the review (appraisal review, environmental review, title review) to the right person in the Decision Desk with the loan's requirements, records the acceptance or the conditions, and holds closing until each report is accepted.

The problem today
Three vendors, three email threads, and closing is scheduled before anyone reviewed the appraisal.
A commercial real estate loan is approved subject to an appraisal, an environmental assessment and a title commitment. The lender orders each by email. The reports arrive over weeks, each to a different inbox. The appraisal review is done by the lender who ordered it, which the guidelines forbid; the Phase I is read on the morning of closing; the title exceptions are noticed by the closing attorney.
The Interagency Appraisal and Evaluation Guidelines require independence in ordering and reviewing the appraisal, a review that documents whether the report is credible, and a value that supports the loan under the regulation. Environmental due diligence protects the bank's collateral and its lender liability under the policy. Title exceptions are closing conditions. Each report has a review, a reviewer and an acceptance that the file must show.
The reports are also the clock on closing. The loan waits for the slowest vendor, and nobody can say which one that is.
How it runs
From the requestto the system of record.
A commercial real estate loan is approved with conditions requiring third-party reports. Callvu opens a report case for each required report from the approval's conditions.
- Lender
- Sees each report's status and expected date; does not order or review the appraisal.
- Appraiser
- Receives the engagement through the independent channel and delivers the report to the case.
- Environmental vendor
- Delivers the Phase I (and Phase II where required) to the case.
- Title company
- Delivers the commitment and the exception documents to the case.
- Credit administration
- Performs or assigns the reviews and records acceptance or conditions in the Decision Desk.
- Callvu
- Orders, tracks, reads on delivery, routes reviews, records acceptance and holds closing.
Classify and order
The approval's conditions and the loan's size and collateral type set the reports: an appraisal or an evaluation under the threshold rules, the level of environmental assessment the policy requires for the property type, and the title commitment. Each order goes through the channel the policy requires (the appraisal through the independent appraisal function or management company), with the engagement terms and the expected date.
Chase and verify delivery
Each vendor delivers through a link to the case. The report is read on delivery for its basic elements (the effective date, the value conclusions, the recognized environmental conditions, the schedule B exceptions) and the case shows which reports are in and which are late against the expected date.
Decide the reviews
Each report routes to its reviewer in the Decision Desk: the appraisal to a qualified reviewer independent of the loan production staff, with the loan's requirements and the review checklist; the environmental report to the environmental reviewer with the policy's thresholds; the title commitment to the closing attorney or title reviewer with the required exceptions to clear. The outcomes are accept, accept with conditions, or reject and reorder, each with the reason.
Write back and release closing
Acceptance, conditions and the reports are written to the loan with the reviewer and the date. Closing is held until every required report is accepted and its conditions are cleared or carried as closing conditions; the loan-to-value is recomputed from the accepted value.
Where it ends: Every required report was ordered through the right channel, reviewed by the right person, and accepted on the loan with the reason, before closing could run. The Decision Trace shows the orders, the reviews and the acceptance; the Audit Trace shows each vendor's delivery and each decision.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The approval's conditions. The vendors enter through links to the case.
The back office
Credit administration reviews from the case with the checklist; the lender sees status without a single email thread.
The Decision Desk
- Each report goes to its qualified reviewer in the Decision Desk with the loan's requirements and only accept, accept with conditions, or reject and reorder.
- A recognized environmental condition or an appraisal review rejection escalates per the policy before closing can proceed.

Questions
What buyers ask next,answered plainly.
Who orders the appraisal?
The independent appraisal function or the management company, through the channel the policy requires. The lender sees the order and the status but cannot place it.
Who reviews it?
A qualified reviewer independent of loan production, in the Decision Desk, with the review checklist. The review and the reviewer are on the loan.
What holds closing?
Any required report not yet accepted, or an accepted report with conditions not cleared or carried. The loan-to-value is recomputed from the accepted value.
