Annual loan review and financial statement collection

How do we run annual loan reviews so the borrower's tax returns and financials arrive on time, the spreads are updated and the risk rating is reviewed on the date?

Start the review from the date, not from the analyst's list. Callvu opens each review on the schedule the loan policy sets, asks the borrower and the guarantors for the tax returns, financial statements and rent rolls through links, reads them on arrival, updates the spreads and the key ratios, routes the risk rating review to the credit analyst and the relationship manager in the Decision Desk, and writes the updated rating, the spreads and the documents to the loan system.

The problem today

The review is due in April, the tax returns arrive in September, and the rating is confirmed without them.

Today, without Callvu

The credit policy says every commercial loan above a threshold is reviewed annually. The analyst keeps a list, emails the relationship manager, who emails the borrower, who sends last year's statements when the accountant is done. The spreads are updated from whatever arrived, and the rating is confirmed because nothing suggested changing it. The examiner finds reviews past due and ratings that rest on stale financials.

The review is the bank's credit risk control: current financials, spreads, covenant tests, a rating decision by the right people, and a record. Each part is date-driven and party-driven, which is what makes it slip when it is run from a list.

The borrower's documents are the delay, and they come faster when the borrower is asked clearly, once, with a link and a deadline.

How it runs

From the requestto the system of record.

Callvu opens the review on the date the loan policy sets for each loan or relationship (annually, or more often for higher risk ratings), with the financial items the policy requires for the loan type.

Borrower
Provides tax returns, financial statements, rent rolls and the compliance certificate through a link, with a deadline.
Relationship manager
Is informed of what is outstanding, adds the relationship commentary, and concurs with the rating.
Credit analyst
Reviews the updated spreads, tests the covenants and proposes the rating in the Decision Desk.
Callvu
Starts on the date, chases the borrower, reads the documents, updates spreads, routes the rating decision and records.
  1. Start on the date and classify

The loan's rating, type and policy tier set the review's depth and the documents required: business and personal tax returns, interim and annual financial statements, rent rolls for income property, a global cash flow where the policy requires. The case opens ahead of the due date with the deadline.

  2. Chase and verify the borrower

The borrower and the guarantors receive links for only their items, with the deadline. Each document is read on arrival, checked for the period and completeness, and the relationship manager sees what is outstanding. A reminder schedule runs until the items are in or the policy's escalation date passes.

  3. Update spreads and test

The financial data is extracted into the spreads (the bank's spreading format), the key ratios and the debt service coverage are computed, the covenants are tested, and the changes from the prior review are highlighted.

  4. Decide the rating

The analyst reviews the spreads and proposes the rating in the Decision Desk with the policy's rating definitions; the relationship manager adds commentary and concurs or disagrees; a downgrade or a rating above the analyst's authority routes to the senior credit officer. The decision and the reasons are recorded.

  5. Write back

The rating, the spreads, the covenant results, the commentary and the documents are written to the loan system with the review date, and the next review date is set from the rating. Overdue reviews are visible to credit administration from the record.

Where it ends: The review was completed on current financials by the date, the spreads and covenant tests are in the loan system, and the rating decision is recorded with its reasons and the people who made it. The Decision Trace shows the inputs and the rating logic; the Audit Trace shows every request, document and decision.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The review date is the front door. The borrower meets the process through a link with a clear list and a deadline.

The back office

The analyst works from updated spreads, not from a folder; the relationship manager is informed and concurs; credit administration sees what is overdue from the record.

The Decision Desk

  • The analyst proposes the rating and the relationship manager concurs in the Decision Desk with the spreads and the policy's definitions; a downgrade or a rating above authority goes to the senior credit officer with only the allowed outcomes.

Questions

What buyers ask next,answered plainly.

How are the borrower's financials collected?

Through a link to only their items, with a deadline and reminders. Each document is read on arrival and checked for the period, and the relationship manager sees what is outstanding.

Can the rating be confirmed without current financials?

No. The period of each document is checked against the review date, and the review is not complete on stale financials.

Who decides a downgrade?

The analyst proposes, the relationship manager concurs or disagrees, and a downgrade routes to the senior credit officer in the Decision Desk.
