Account name change

How do we change the name on a utility account after a marriage, divorce or death with the supporting documents collected and verified, and the change written to the account?

Treat the name change as a verified document instruction. Callvu identifies the account holder with the verification an account change warrants, classifies the change (a legal name change for the same person, the removal of a spouse after a divorce, the addition of a spouse, a change after a death that may be a transfer rather than a rename), lists the document the change needs (a marriage certificate, a divorce decree, a court order, a death certificate with the successor's proof), chases it through a link, reads and checks it against the account (the names, the dates, the court), routes a change that is really a transfer of responsibility or a document that does not match to the service desk in the Decision Desk, and writes the new name to CIS and the billing system with the confirmation to the account's contacts.

The problem today

The ex-spouse stayed on the account for three years because the name change was done as a note, not a change of the responsible party.

Today, without Callvu

A name change looks like the smallest account request and is the one with the hidden question: is the same person changing their name, or is the responsible party changing? A divorce that removes a spouse changes who owes the bill; a death that puts a successor's name on the account is a transfer with a final bill and a possible deposit; a marriage that adds a spouse creates joint responsibility. Done as a rename, each leaves the wrong person liable.

The utility's rules and the tariff set who is responsible for the account, what documents evidence a legal name change, when a change of party requires a new application or a transfer, and how a deceased holder's account is handled. The document is the proof, and reading it decides the path.

A name change done right is either a rename with a document or a transfer with its own process.

How it runs

From the requestto the system of record.

An account holder (or a person acting after a death) requests a name change in any channel. Callvu identifies them and opens the change.

Account holder or requester
Verifies identity, states the reason, and uploads the document through a link.
Service desk
Decides transfers and mismatches in the Decision Desk.
Callvu
Verifies, classifies, chases and checks the document, routes and writes.
  1. Verify and classify

The requester is verified through the identity verification process at the level an account change warrants; the reason classifies the change: a legal name change for the same holder (marriage, divorce, court order), the removal or addition of a spouse (a change of the responsible parties), or a change after the holder's death (which routes to the deceased account holder process as a transfer rather than a rename).

  2. Chase and verify the document

The document the classification needs is requested through a link (the marriage certificate, the divorce decree with the relevant page, the court order, the updated identity document) and read on arrival: the names before and after, the date, the issuing authority, and the match to the account holder's identity; what does not match or is incomplete is requested again with the specifics.

  3. Decide

A same-person legal name change with a matching document proceeds by rule; a change that alters who is responsible (the removal of a spouse who signed the application, the addition of a spouse, a successor after a death), a document that does not match, or a name change on an account with a balance in dispute goes to the service desk in the Decision Desk with the document and only the allowed outcomes (rename, convert to a transfer with a new application, require a further document, or decline with the reason).

  4. Write back

The new name is written to CIS and the billing system on the account and the related records (the deposit, the arrangements, the authorized contacts), the document is retained with the account, and the confirmation goes to the account's contacts on file (the prior and the new contact where it changed) as a security measure.

Where it ends: The name change was verified, classified as a rename or routed as a transfer, evidenced by a document that was read and matched, and written to CIS with the record retained. The Decision Trace shows the classification, the document check and any decision; the Audit Trace shows the request, the upload and the write with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

Any channel; the requester verifies and uploads the document on their phone from a link.

The back office

The service desk decides only transfers and mismatches; CIS is written by the process.

The Decision Desk

  • A change of the responsible party, a document that does not match, or an account with a disputed balance goes to the service desk in the Decision Desk with the document and only rename, convert to a transfer, require a further document, or decline with the reason.

Questions

What buyers ask next,answered plainly.

What document is needed?

The one the change requires: a marriage certificate, a divorce decree restoring a prior name, a court order, or an updated identity document; it is read and matched to the account.

What if a spouse is being removed?

That changes who is responsible for the account, so it is decided by the service desk and may become a transfer with a new application under the tariff rather than a rename.

What happens after a death?

The request routes to the deceased account holder process, which handles the final bill and the transfer to the successor or the estate.
