Medical certificate and renewal
How do we request a physician's medical certificate, receive and check it, protect the account for the certified period, and chase the renewal before it ends?
Treat the certificate as a document with a source, a check and an expiry. When a customer (or a household member's physician) invokes the medical protection, Callvu identifies the customer and prefills the account and the household, accepts the initial notice by the method the rules allow (a telephone notice with a temporary hold pending the written form in many states), sends the certification form to the physician through a link with the required elements (the patient, the condition's nature without the diagnosis where the rules limit it, the statement that disconnection would be dangerous to health or that the equipment is required, the period, the licensed provider's identity and signature), reads the certificate on arrival and checks it (the provider's license, the elements, the period within the rules' maximum, the household member at the premise), writes the hold with its expiry to the billing system and the collections schedule, chases the renewal from the customer and the physician before the expiry within the rules' limits, routes a deficient certificate or a renewal beyond the limit to the credit desk in the Decision Desk, and records every certificate and renewal.

The problem today
The physician's office faxed the certificate to the wrong number, the temporary hold lapsed, and the oxygen concentrator went dark for a night.
The medical certificate is the protection the rules give a household where a disconnection would be dangerous. It fails in the handling: a customer told to 'have the doctor send something' with no form and no address, a certificate that arrives without the elements the rules require and is rejected without telling anyone, a temporary telephone hold that expires before the paper arrives, a renewal nobody chased. The failure is dangerous, and the commission treats it that way.
The rules set the method of the initial notice (telephone accepted in many states with a short period to provide the written certificate), the form's required elements, who may certify (a licensed physician, and in many states a nurse practitioner or a physician assistant, or a public health official), the certified period and the renewals (a number per year, or indefinite for a chronic condition with periodic reconfirmation), the conditions (current bills, an arrangement) and the utility's duty to inform the customer. The certificate is a chase to a physician with a form, a check on arrival, and a hold with a date.
A certificate requested from the physician on a link with the form is one that arrives complete and on time.
How it runs
From the requestto the system of record.
A customer invokes the medical protection in any channel (a call, the app, a link on a disconnection notice, a hardship application), or a physician contacts the utility. Callvu identifies the customer and opens the certificate case.
- Customer
- Gives the initial notice, identifies the household member and the physician, and chases the renewal when reminded.
- Physician or licensed provider
- Completes and signs the certification through a link.
- Credit and collections desk
- Decides deficient certificates and renewals beyond the limit in the Decision Desk.
- Callvu
- Accepts the notice, requests the form, reads and checks, writes the hold, chases the renewal, routes and records.
Accept the notice and request the certificate
The customer's notice is accepted by the method the rules allow (a telephone or online notice starts the temporary hold for the rules' period, commonly a set number of days to provide the written certificate), the household member and the physician are identified, and the certification form with the required elements is sent to the physician through a link (and to the customer to pass on where the physician cannot be reached directly); the temporary hold is written to the collections schedule.
Chase and verify the certificate
The physician and the customer are chased on the temporary hold's clock; the certificate is read on arrival and checked: the provider's license against the state board where the rules require, the required elements (the patient at the premise, the statement the rules specify, the period requested within the maximum, the signature and date), the household member's residence at the premise, and whether the condition is certified as chronic where the rules allow an indefinite protection; a deficient certificate is returned to the physician with the specific gap, not rejected silently.
Decide and protect
A certificate that passes the checks writes the hold by rule for the certified period with the expiry and the conditions (current bills, an arrangement where the state requires one through the medical hold process); a deficient certificate after a chase, a renewal beyond the rules' number, a certifier the rules do not recognize, or a certificate for a person not at the premise goes to the credit and collections desk in the Decision Desk with the certificate and only the allowed outcomes (accept, accept for a shorter period, request a specific correction, or decline with the reason and the rights).
Chase the renewal and write back
The hold with its type, period, expiry, conditions and the certificate are written to the billing system and the collections schedule; the renewal is chased from the customer and the physician before the expiry (the reminder on the rules' schedule, the form resent to the physician), the renewal is checked the same way and counted against the rules' limit, and a hold that expires without renewal ends with the notice the rules require and the sequence restarting under them.
Where it ends: The protection started on the notice by the rules' method, the certificate arrived complete because the physician had the form, the hold was written with its expiry and conditions, and the renewal was chased before it ended, with the billing system holding every certificate. The Decision Trace shows the checks, the hold terms and any decision; the Audit Trace shows the notice, the request, the certificate and the renewals with time.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
Any channel for the customer's notice; the physician completes the form through a link.
The back office
Collections reads the hold; the credit desk decides only deficiencies and limits.
The Decision Desk
- A deficient certificate after a chase, a renewal beyond the rules' number, an unrecognized certifier or a person not at the premise goes to the credit and collections desk in the Decision Desk with the certificate and only accept, accept for a shorter period, request a correction, or decline with the reason and the rights.

Questions
What buyers ask next,answered plainly.
How does the protection start?
With the customer's notice by the method the rules allow, often by telephone, which starts a temporary hold for the rules' period while the physician's written certificate is obtained through a link with the form.
What must the certificate contain?
The elements the rules set: the patient at the premise, the statement that disconnection would be dangerous or that equipment is required, the period, and the licensed provider's identity and signature; each is checked on arrival.
How long does it last?
The certified period within the rules' maximum, renewable up to the rules' number or indefinitely for a chronic condition with reconfirmation; the renewal is chased before the expiry.
