Visa and entry requirements

How do we apply each country's entry rules to an itinerary, get the traveler through the required applications and forms, and track their status to departure?

Turn the itinerary into a list of entry tasks with lead times. Callvu classifies the entry rules for each country on the itinerary and each transit point against the traveler's nationality, residence, purpose and length of stay (visa required, visa on arrival, electronic travel authorization, visa waiver with registration, no requirement), lists the applications and forms the traveler must complete with their lead times and fees (the visa application and appointment, the electronic authorization, the arrival or health card, the customs declaration where pre-filed), guides the traveler through each on their phone with the data prefilled from the profile and the booking, chases each on a schedule counted back from departure, reads the approvals on arrival and checks them against the itinerary, and shows the status to the traveler and the travel desk until departure.

The problem today

The traveler had a visa for the destination and none for the six-hour connection that required one.

Today, without Callvu

Entry rules differ by country, nationality, purpose and length of stay, and change without notice. Travelers rely on memory and forum posts; agencies send a link to a government site; the electronic authorization that takes minutes is forgotten, the visa that takes three weeks is started with ten days to go, and the transit country's rule is nobody's job. The gate finds the gap.

The rules are maintained in the database the carriers use, and the applications are forms with known data, lead times and fees. An itinerary classified against the rules yields a task list; each task can be prefilled from the profile and the booking; the deadlines run back from departure. The traveler needs to do the applications; the process needs to make sure they happen in time.

The connection that requires a visa is found at booking or at the gate; booking is cheaper.

How it runs

From the requestto the system of record.

A trip is booked (or an itinerary changes) with the traveler's nationality and residence on file. Callvu classifies the entry rules.

Traveler
Completes the applications and forms on their phone with the prefilled data, attends appointments, and uploads the approvals.
Travel desk or visa service
Supports complex applications and decides the itinerary change when a visa will not arrive in time.
Callvu
Classifies, lists, prefills, guides, chases, reads and tracks.
  1. Classify the entry rules

Each country on the itinerary and each transit point is classified for the traveler's nationality, residence, purpose and length of stay from the authoritative source: no requirement, visa waiver with a registration, electronic travel authorization, visa on arrival, or visa in advance (with the type, the appointment and the processing time); the transit rules (airside transit without a visa, or a transit visa) are included; a dual national's options are shown.

  2. List and prefill the tasks

Each requirement becomes a task with its lead time, its fee and its deadline counted back from departure: the electronic authorization, the visa application with the supporting documents the consulate lists (the invitation letter, the itinerary, the accommodation proof, the photos) and the appointment, the arrival and health cards, the customs declaration where it is pre-filed; the forms are prefilled from the profile and the booking, and the traveler completes them on their phone with guidance.

  3. Chase and verify

Each task is chased on its schedule with reminders; the approval (the authorization's confirmation, the visa sticker or e-visa, the registration receipt) is uploaded, read and checked against the itinerary (the validity dates cover the stay, the entries match the itinerary, the type matches the purpose, the name matches the passport); a failed check is returned with the specifics.

  4. Track to departure

The status of every task is shown to the traveler and the travel desk until departure, written against the trip in the booking system, the system of record; a visa that will not arrive in time goes to the travel desk in the Decision Desk with the status and only the allowed outcomes (expedite through the visa service, change the itinerary or the dates, or cancel).

Where it ends: Every country on the itinerary, transit points included, was classified for the traveler, each application was prefilled and chased on its lead time, each approval was checked against the itinerary, and the status was visible to departure. The Decision Trace shows the rules applied and the checks; the Audit Trace shows the tasks, the chases and the approvals.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The link from the booking; the traveler completes applications on their phone with prefilled data.

The back office

The travel desk and the visa service support complex cases; the duty of care team sees status.

The Decision Desk

  • A visa or authorization that will not arrive in time goes to the travel desk in the Decision Desk with the status and only expedite, change the itinerary or dates, or cancel.

Questions

What buyers ask next,answered plainly.

Are transit countries checked?

Yes. Each transit point is classified for airside transit or a transit visa for the traveler's nationality, since the gate checks them too.

What does the traveler do?

Completes each application or form on their phone with the data prefilled, attends any appointment, and uploads the approval, with reminders on each task's lead time.

What if a visa will not arrive in time?

The travel desk decides early with the status: expedite through the visa service, change the itinerary or the dates, or cancel.
