Hotel and car cancellations

How do we cancel hotel and car bookings before each supplier's cutoff and get the refund back to the original payment method?

Run every cancellation against the supplier's own deadline. When a cancel request or a disruption arrives, Callvu classifies each hotel and car booking on the itinerary by its cancellation terms (free cancellation until the cutoff, a penalty of one night, non-refundable, a prepaid rate through a wholesaler), checks the time against the cutoff in the property's time zone, cancels each booking with the supplier through its channel before the deadline with the cancellation number captured, computes the refund due under the terms, routes a cancellation inside a penalty window or a disputed term to the agent in the Decision Desk, and writes the cancellation, the confirmation number and the refund to the original payment method to the booking system.

The problem today

The cancellation was requested at five in the afternoon local time; the hotel's cutoff was six in the evening at the property, four time zones ahead.

Today, without Callvu

A hotel or car cancellation looks trivial and costs real money when it is late: the free cancellation deadline is in the property's time zone, the prepaid rate through a wholesaler has its own rules, the car's cancellation fee depends on the notice, and the refund must go back to the card that paid. An agent cancelling by email, or a traveler who assumes the agency did, is how no-show charges happen.

Each booking carries its terms: the cutoff and the penalty from the rate rules or the supplier contract, the channel through which the cancellation must be made (the GDS, the supplier's system, the wholesaler), the cancellation number that proves it, and the refund rule. Applying them is a classification and a clock per booking, and the booking system must hold the cancellation number and the refund.

A cancellation with a number, before the cutoff, is the only kind that protects the traveler.

How it runs

From the requestto the system of record.

A traveler or an agent requests a cancellation, or a disruption case needs a hotel or car unwound. Callvu classifies each booking and opens the cancellation.

Traveler
Requests the cancellation on a secure screen and receives the confirmation and the refund.
Supplier or wholesaler
Accepts the cancellation through its channel and returns the cancellation number.
Agent
Decides cancellations inside a penalty window and disputed terms in the Decision Desk.
Callvu
Classifies the terms, checks the cutoff, cancels through the channel, computes the refund, routes and writes back.
  1. Classify each booking's terms

Each hotel and car booking on the request is read with its rate rules and contract: the cancellation deadline and the time zone it is measured in, the penalty after it (a night's charge, a percentage of the stay written in the terms, a non-refundable prepayment), the channel for the cancellation (the GDS, the supplier's system, the wholesaler's portal), and the refund rule for the payment method used.

  2. Check the cutoff and cancel

The request time is compared with each cutoff in the property's time zone; a booking inside the free window is cancelled through its channel at once with the cancellation number captured, and the traveler is told; a booking inside a penalty window is held for a decision with the penalty shown.

  3. Decide

A cancellation inside a penalty window (where a later date or a change might avoid it), a wholesaler rate with disputed terms, or a supplier that does not return a cancellation number goes to the agent in the Decision Desk with the terms and only the allowed outcomes (cancel and accept the penalty, change instead, request a waiver from the supplier with the reason, or hold).

  4. Write back and refund

The cancellation with its number, the penalty applied and the refund due are written to the booking system, the refund is issued to the original payment method (or claimed from the supplier through the supplier refund recovery process where the agency prepaid), and the traveler receives the confirmation with the number.

Where it ends: Every hotel and car booking was cancelled through its channel before its cutoff with a number to prove it, the penalties were decided where they applied, and the booking system holds the cancellations and the refunds to the original payment method. The Decision Trace shows the terms, the cutoff check and any decision; the Audit Trace shows the request, each cancellation with time against the cutoff and the refund.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The traveler on a secure screen, the agent, or the disruption case.

The back office

The agent decides only penalty windows and disputes; cancellations run through the channels by rule.

The Decision Desk

  • A cancellation inside a penalty window, a disputed wholesaler term or a missing cancellation number goes to the agent in the Decision Desk with the terms and only cancel with the penalty, change instead, request a waiver, or hold.

Questions

What buyers ask next,answered plainly.

How is the cutoff checked?

Against the rate's deadline in the property's local time zone, for each booking, the moment the request arrives; bookings inside the free window are cancelled at once.

What proves the cancellation?

The supplier's cancellation number, captured through the channel the booking requires and written to the booking system with the confirmation to the traveler.

Where does the refund go?

To the original payment method under the card network rules, from the supplier or the agency depending on who was paid, with the amount computed from the terms.
