Refund and overpayment request

How do we refund a credit balance or an overpayment after verifying the payee and the method, with approval above limits and the refund recorded?

Treat a refund as a verified disbursement with an approver. When a credit balance or an overpayment exists (a final bill after cancellation, a duplicate payment, a credit larger than the bill, a deposit to return), Callvu prefills the balance and its source from the billing system, classifies the refund (to the original payment method by rule, to a bank account or a check where the original cannot be used, to an estate or a third party with documents), verifies the payee's identity with step-up authentication and the method (the original token, or a new account verified), chases the documents a non-standard payee needs, routes a refund above the limit or to a new payee to the billing desk in the Decision Desk, issues it through the right rail, and writes the refund to the billing system with the approver and the confirmation.

The problem today

The refund went to a bank account a caller supplied, for a credit balance the real customer did not know they had.

Today, without Callvu

Credit balances accumulate quietly: a cancelled customer's final bill, a payment made twice, a deposit never returned. The refund request is the fraudster's favorite call because it moves money out on the strength of an account number. Legitimate customers, meanwhile, wait weeks for a check because nobody owns the queue, and the state's unclaimed property clock runs on the balances nobody refunds.

A refund has rules: the original payment method first where the rails allow it, a verified payee and account for anything else, documents for an estate or a business, an approval limit, and the state's rules for returning deposits and credit balances with the time limits and the interest. The billing system should hold the refund with its approver, and the unclaimed property process should see what was never claimed.

A refund to a verified payee with an approver is money that goes to the right person once.

How it runs

From the requestto the system of record.

A credit balance or an overpayment is found (by the customer's request or by the billing system's balance review). Callvu opens the refund on the account.

Customer or payee
Verifies identity, confirms the method and provides documents where the payee is not the account holder.
Billing desk
Decides refunds above the limit or to new payees in the Decision Desk.
Callvu
Prefills, classifies, verifies, chases, routes, issues and writes.
  1. Prefill and classify

The credit balance, its source (a final bill, a duplicate payment, a deposit, an adjustment), the original payment method as a token, the account's status and the payee on record are prefilled from the billing system; the refund is classified: to the original method by rule where the rail allows and the payment is recent enough, to a bank account or a check where it does not, or to a non-standard payee (an estate, a business successor, an authorized representative) needing documents.

  2. Chase and verify

The payee is verified with step-up authentication appropriate to a disbursement (more for a new bank account or a changed address for a check); a new account is verified before use; documents for a non-standard payee (the letters of administration, the authorization, the business change) are requested through a link, read and checked; a request that does not verify is chased or stopped.

  3. Decide

A refund to the original method within the limit issues by rule; a refund above the limit, to a new payee or account, to a check at a changed address, or on an account with a fraud flag goes to the billing desk in the Decision Desk with the verification and the documents and only the allowed outcomes (approve, approve to the original method only, hold for further verification, or deny with the reason).

  4. Write back

The refund is issued through the right rail (a card credit, an ACH credit, a check), written to the billing system with the amount, the method, the approver and the date, the confirmation goes to the payee, and an unrefundable balance is tracked toward the state's unclaimed property process on its clock.

Where it ends: The refund went to a verified payee by the right method, approved above the limit by a person, and the billing system, the system of record, holds it with the approver; balances nobody claims are tracked for escheat. The Decision Trace shows the classification, the verification and any decision; the Audit Trace shows the request, the documents and the issue with time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The app, a call with a link, a letter from an estate or a business, or the billing system's own balance review.

The back office

The billing desk decides only above the limit or for new payees; the rails and the record run from the decision.

The Decision Desk

  • A refund above the limit, to a new payee or account, to a check at a changed address, or on a flagged account goes to the billing desk in the Decision Desk with the verification and only approve, approve to the original method, hold, or deny with the reason.

Questions

What buyers ask next,answered plainly.

Where does the refund go?

To the original payment method by rule where the rail allows; to a verified bank account or a check where it does not; to an estate or a representative only with documents and a person's approval.

Who approves a refund?

The process within the limit to the original method; the billing desk in the Decision Desk above the limit, for a new payee or account, or on a flagged account, with the approver recorded.

What about balances nobody claims?

They are tracked toward the state's unclaimed property process with the due diligence notices before escheat.
