Non-payment cancellation notice
How do we send every non-payment cancellation notice within the state's required period with the prescribed content and proof of mailing, and record the delivery on the policy?
Generate the notice from the rule, not the batch. Callvu classifies each past-due account on the day it becomes past due (the line, the state, the policy's terms, the lienholder or mortgagee, the insured's delivery election and the prior notices), generates the notice with the content the state prescribes (the amount, the cancellation date and time, the reason, the reinstatement path) and a payment link, sends it by the method the state recognizes with the proof of mailing or electronic delivery captured, sends the lienholder its notice on its own clock, writes each notice with its date, method and proof to the policy system and billing, and stops the cancellation the moment a payment posts.

The problem today
The notice was mailed nine days before cancellation in a ten-day state, and the claim after the cancellation date was paid in full.
Billing runs a weekly notice batch. An account becomes past due on a Thursday; the notice goes out the following Wednesday with the cancellation date already printed. The state requires ten days' notice; the mailing was nine. A loss occurs after the printed date. The cancellation was ineffective, the policy was in force, and the claim is paid on a policy the insurer thought it had cancelled.
Each state sets the advance notice for cancellation for non-payment (ten days is common, longer in some states and lines), the content (the specific reason, the effective date and time, the amount to cure, the right to reinstate), the method (first-class mail with proof of mailing, certified mail in some states, electronic delivery only with the insured's consent), and the separate notice to lienholders and mortgagees. The effective date is counted from the mailing, so the proof of mailing is the evidence.
A notice is only as good as its date and its proof.
How it runs
From the requestto the system of record.
A billing account becomes past due (a missed installment or a returned payment). Callvu classifies the account and opens the notice on the policy.
- Policyholder
- Receives the notice with a payment link and can cure before the cancellation date.
- Billing
- Holds the account, the notice record and the cancellation in the billing system.
- Callvu
- Classifies, generates, sends with proof, notifies the lienholder, records and stops the cancellation on payment.
Classify the account
The line, the state, the policy's cancellation terms, the reason (a missed installment or a returned payment), the lienholder or mortgagee on the policy, the insured's electronic delivery consent, any pending payment and the prior notice history classify the requirements: the advance period, the content, the delivery method and the lienholder's notice.
Generate the notice
The notice is generated with the prescribed content: the specific reason, the amount to cure, the cancellation effective date and time computed from the mailing date plus the state's period, the reinstatement path, the contacts, and a link to the secure payment process; the lienholder's notice is generated with its own period and content.
Send with proof
The notice is sent by the method the state recognizes for the line (first-class mail with a proof of mailing certificate, certified mail where required, electronic delivery where the insured consented), the proof of mailing or the electronic delivery record is captured, and a notice that cannot be sent on the day (an address defect) is escalated with the clock visible.
Write back and watch
Each notice with its date, method, proof and the computed effective date is written to the policy system and the billing system; a payment that posts before the effective date stops the cancellation by rule and the rescission is recorded; an unpaid account cancels on the effective date through the cancellation process with the refund of any unearned premium.
Where it ends: Every past-due account received a notice with the state's content and period, with proof of mailing on the record, and the cancellation date is the one the law makes effective. The Decision Trace shows the classification and the computed date; the Audit Trace shows the generation, the mailing proof and the write. The Callvu moves in this process are classify and write back.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The notice itself, with a payment link; the policyholder can cure from it in any channel.
The back office
Billing sees only address defects and disputes; the notice runs by rule.
The Decision Desk
- An address defect, a returned notice, or a disputed effective date goes to the billing lead in the Decision Desk with the notice record and only re-send with a recomputed date, hold, or confirm.

Questions
What buyers ask next,answered plainly.
How is the cancellation date set?
From the mailing date plus the state's advance period for the line, computed by the rule the day the account becomes past due, never printed from a batch calendar.
What proof is kept?
The proof of mailing certificate or the electronic delivery record for each notice, on the policy, because the effective date depends on it.
Can the notice go by email?
Only where the insured consented to electronic delivery in the way the state's statute requires; otherwise by mail.
