ID card and primary care physician changes
How do we let a member request a new ID card or change their primary care physician from the portal or a call, with the change checked against network rules and written to the member record?
Make the request a prefilled screen with the network rules inside it. Callvu identifies the member, prefills the plan, the dependents, the current primary care physician and the cards on file, takes the request (a replacement or digital card, a card for a dependent, a new primary care physician for one or all family members), checks a physician change against the network (the physician is in the plan's network and the product, accepting new patients, in the service area, and the effective date rule), chases a missing detail such as the physician's identifier or the reason for an out-of-cycle change, writes the change to the member record in the enrollment system of record, issues the card to the app and by mail, and tells the member when the change takes effect.

The problem today
The member changed their physician by phone on the first; the card showed the old one; the new office turned them away on the fifteenth.
Requests for a new card and a new primary care physician are the highest-volume calls a plan takes, and the simplest. They fail at the edges: a physician who is in the network but not in the member's product, one whose panel is closed, a change keyed on a date the rules do not allow, a card that goes to the old address, a dependent who was never moved. The member finds out at the front desk.
The plan's network rules set who may be a primary care physician for each product and area, whether the panel is open, how a change takes effect (the first of the month after the request, or immediately within the plan's rules), and what the card must show. The member record is where the claims and the referrals look, so the change must land there, not in a note.
A simple request with the rules in the screen is one the member finishes alone.
How it runs
From the requestto the system of record.
A member requests a card or a physician change in the portal, the app, by phone or through an AI assistant. Callvu identifies them and opens the request.
- Member
- Chooses the card or the physician for themselves or a dependent on a prefilled screen and receives the confirmation and the card.
- Member services
- Sends the link on a call and decides exceptions in the Decision Desk.
- Callvu
- Prefills, takes the request, checks the network rules, chases missing details, writes and issues.
Prefill
The member's plan and product, the covered family members, each one's current primary care physician and effective date, the cards issued and the mailing address are prefilled from the enrollment system of record; the member chooses what they need: a replacement or digital card for one or more family members, or a new primary care physician.
Chase and verify the physician
For a physician change, the member searches the network directory filtered to their product and area; the chosen physician is checked against the network rules (participating in the product, a primary care specialty, accepting new patients, within the service area, not sanctioned or termed), the effective date is computed by the plan's rule, and a missing detail (which family members, the physician's identifier for a name match, the reason for an out-of-cycle change where the plan asks) is requested on the screen.
Decide exceptions
A change inside the rules writes by rule; a closed panel, a physician outside the product, an out-of-area request, a change more often than the plan allows or a request from someone other than the member or their representative goes to member services in the Decision Desk with the request and only the allowed outcomes (approve, approve with a different effective date, or decline with the reason and the alternatives).
Write back and issue
The change is written to the member record in the enrollment system of record with its effective date, the referral and claims rules read it from there, the new card is generated with the physician and issued to the app and by mail to the address on file, and the member receives the confirmation with the effective date and the physician's contact details.
Where it ends: The member chose a card or a physician on a prefilled screen, the network rules were applied before the change, and the member record in the enrollment system of record holds the change the claims and referrals will use, with the card issued. The Decision Trace shows the network checks, the effective date rule and any decision; the Audit Trace shows the request, the write and the issuance.
Runtime enforcement
What is enforcedwhile the work runs.
The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.
The handoff
Between the front doorand the back office.
The front door
The portal, the app, a call with a link, or an AI assistant; the member finishes on their phone.
The back office
Member services sees only exceptions; the enrollment system of record is written by the process.
The Decision Desk
- A closed panel, a physician outside the product, an out-of-area request, a change too frequent under the plan's rules or a request from an unverified person goes to member services in the Decision Desk with the request and only approve, approve with a different date, or decline with the reason and alternatives.

Questions
What buyers ask next,answered plainly.
What is checked before a physician change?
That the physician is in the network for the member's product, a primary care specialty, accepting new patients and in the service area, and the plan's effective date rule; the directory is the source.
When does the change take effect?
By the plan's rule, commonly the first of the month after the request; the member is told the date on the confirmation and the card.
Can a parent change a child's physician?
Yes, a parent for a minor dependent, or a verified representative, with the authentication the plan sets for the channel.
