Employee performance review

How do we run employee performance reviews so both parties attest, HR approves before filing, and the review is filed automatically?

Make the review a case that moves from the evaluator to the staff member to HR, with the attestations and the gate in the process. Callvu checks the evaluator against the HR system before the form opens, captures a typed-name attestation from the evaluator and the staff member in auditor-cleared wording, requires the staff member's concur or do-not-concur mark, holds the review for HR approval with a send-back loop, and files the signed review to the HR system and the HR inbox automatically. The problem today

The review is a Word document, the signature is a scan, and HR files it by hand.

Today, without Callvu

A supervisor fills in a review template, prints it, meets the employee, and both sign. The scan goes to HR by email. HR reads it, finds a section missing, sends it back, and the employee signs a second version that may or may not match the first. The score is typed into the HR system by someone in HR, and the signed copy is filed in a shared folder.

Nothing in that chain proves who saw what. A supervisor can open a review they should not; an employee's disagreement has nowhere to go but a margin note; an approval by HR, where it exists, is implied by the filing. Records of personnel actions must be kept, and a bank's own policy and its auditors expect that an attestation is in wording that was cleared and that the filing is traceable.

The cycle makes it worse. Every supervisor files at once, HR is a bottleneck, and the reviews that need a second look are the ones filed last.

How it runs

From the requestto the system of record.

The review cycle opens, or a manager starts an out-of-cycle review. The evaluator opens the review for a staff member from the bank's intranet.

Evaluator
Completes the review, attests by typed name, and meets the staff member.
Staff member
Reads the review, marks concur or do not concur, adds comments, and attests by typed name.
HR
Approves the review or sends it back, in the Decision Desk, before anything is filed.
Callvu
Checks identity and permissions, prefills, captures the attestations, enforces the HR gate and the send-back loop, and files the review.
  1. Evaluator identity and access

Before the form opens, the evaluator's identity is checked against the HR system and access follows the bank's existing intranet permissions: each supervisor sees only their own staff. An evaluator who is not the staff member's supervisor of record cannot open the review.

  2. Prefill

The staff member's name, role, department, hire date, last review date and prior score are prefilled from the HR system. The evaluator completes the review sections and the score.

  3. Evaluator attestation

The evaluator attests by typing their name under the auditor-cleared wording, with a timestamp. The review then goes to the staff member.

  4. Staff member concur or do not concur

The staff member reads the review, must mark concur or do not concur, may add comments, and attests by typed name. A disagreement is captured on the record, not blocked; the review continues to HR with it.

  5. Decide: HR approval gate

HR reviews the complete review in the Decision Desk and approves it or sends it back with a reason. A send-back returns to the evaluator with the prior content kept and the signatures cleared, so both parties re-attest to what changed. Nothing is filed before HR approves.

  6. Write back

Filing is automated only: the signed review as a PDF is filed with HR, the score and the last review date are written to the HR system, a copy goes to the HR inbox, and Callvu keeps the completion record (when it completed and where it was sent).

Where it ends: The signed review is filed with HR, the score and last review date are in the HR system, and the completion record shows when and where it was sent. The Decision Trace shows the identity check, the attestations and the HR decision; the Audit Trace shows every step, person and time.

Runtime enforcement

What is enforcedwhile the work runs.

The regulations preloaded in Callvu Studio and the bank's own policies, applied as steps that run, not lines in a binder. A step that breaks a rule does not run, so a completed run was compliant.

The handoff

Between the front doorand the back office.

The front door

The bank's intranet: the evaluator opens the review from where they already work, under the permissions they already have.

The back office

HR reviews and approves in the Decision Desk and files nothing by hand. The HR system receives the score and the date; the HR inbox receives the signed copy; the completion record stays with Callvu.

The Decision Desk

  • The complete review goes to HR in the Decision Desk with both attestations and the staff member's mark, and only two outcomes: approve, or send back with a reason.
  • A send-back returns to the evaluator with the prior content kept and the signatures cleared, and both parties re-attest.
  • A review that has waited at any party past the cycle's limit is nudged and shown to HR.

Questions

What buyers ask next,answered plainly.

What if the staff member disagrees?

They mark do not concur, add comments, and attest. The disagreement is captured on the record and the review continues to HR with it. It is never blocked.

What happens on a send-back?

The review returns to the evaluator with the prior content kept and the signatures cleared. Both parties re-attest to what changed before it goes back to HR.

Can a supervisor see another team's reviews?

No. Access follows the bank's existing intranet permissions, and the evaluator is checked against the HR system before the form opens.

Who files the review?

Nobody. Filing is automated only: the signed PDF goes to HR and the HR inbox, the score and date go to the HR system, and Callvu keeps the completion record.
